Weekly timesheets
Employees enter hours by day against the grants and tasks assigned to them. Time off is entered on the same timesheet. Employee screens are available in English and Spanish.
Certification and approval
Each week is certified twice: by the employee on submission and by the supervisor on approval. Supervisors can return a week with a note, and the employee corrects and resubmits. Reminders go out by email for missing and pending timesheets.
Certified timesheet PDF
Every approved week produces a PDF showing hours by day and by grant, both certifications, and the timesheet's full history. File it with your grant records or hand it to an auditor.
Audit trail
Submissions, approvals, returns, setting changes and corrections are all recorded with who did it and when. The audit records cannot be edited or deleted, even by administrators.
Corrections after approval
When time needs to move to a different grant after approval, an administrator can reallocate it with a written justification. The original certified timesheet stays as it was. The adjustment is recorded separately and shown on the PDF and in exports.
Time off
Set up leave types with accrual rules by pay period. Balances update when time off is approved, and every accrual and use appears in a ledger employees can see.
Reports and exports
Download an hours summary for payroll, hours by employee, grant and task for grant reporting, and detailed time entry exports. Supervisors can export their whole team.
Pay periods and closing
Close a period once payroll is done. Closed weeks can't be changed without an administrator override, and the override is recorded.
